How to Preserve Quotes, Links and Numbers During an AI Rewrite

A practical source-material checklist for reviewing quotes, URLs, dates, figures, and named sources before and after revising an AI draft.

A rewrite can improve an awkward paragraph and still damage the detail that made it trustworthy. A quote loses two words. A link keeps its anchor text but points somewhere else. A figure retains its number but drops the unit.

These are not cosmetic mistakes. They change what a reader can verify and understand. Before revising surrounding prose, separate the elements that need exact handling from the wording that can move.

Mark fixed source elements before you revise

Read the draft once and build a short inventory. Do this before changing the introduction, transitions, or sentence rhythm. Your inventory is a comparison target, not a request to preserve every sentence exactly.

Include:

  • direct quotes and the person or publication they are attributed to
  • URLs, linked text, and destination pages
  • figures, percentages, currencies, ranges, and units
  • dates, times, version numbers, and deadlines
  • names of people, organizations, products, reports, and publications
  • citations, footnotes, and required source labels
  • technical terms or legally required wording

A simple template is enough:

Source elementOriginal formWhat to check after revision
Quote“Orders must be submitted by 15 May.”Exact words, quotation marks, attribution, date
LinkRead the policy → destination URLAnchor text, destination URL, nearby explanation
Figure18.5 kgNumber, decimal point, unit, and what the figure measures
Named sourceNorth Coast Energy ReportSpelling, capitalization, and whether the surrounding sentence still describes it accurately

The goal is not to freeze the whole draft. It is to know which parts require a precise check when the prose around them changes.

Decide what may change around each item

For every inventory entry, make one editing decision: must it stay exact, or may its presentation change?

A direct quotation usually needs to remain exact. You can shorten the lead-in or move the quote to a different paragraph, but do not silently rewrite its words.

A number may be restated, provided its meaning stays intact. For example, 18.5 kg per shipment is not the same as 18.5 kg. The second version has lost the unit of comparison. Likewise, up to 20% is not interchangeable with 20%.

A link can be moved, but its destination and context both matter. If the revised sentence says “read the full policy,” the linked page should actually be the policy, not a general homepage.

Compare source and revision in passes

Do not try to review voice, structure, evidence, and formatting in one read. Compare the two versions in short passes instead.

Pass 1: Match the inventory

Open the source and revised versions next to each other. For every item in your inventory, locate it in both versions and check that it still exists where needed.

Pay particular attention to these details:

  • Quotes: Are the opening and closing quotation marks present? Is the wording unchanged? Is the attribution still attached to the right speaker or source?
  • Links: Does the visible anchor text match the claim beside it? Does the destination remain the intended URL?
  • Numbers: Are digits, decimal separators, minus signs, percentage signs, ranges, and units correct?
  • Dates: Has a date format change created ambiguity? For example, 03/04/2026 may mean different things to different readers.
  • Named sources: Is the source name spelled consistently, and does the revised wording avoid overstating what that source says?

Pass 2: Read the nearby context

An element can survive unchanged while its meaning shifts because the sentence around it changed.

Suppose the original says:

The report estimates that delivery times could fall by 20% under the proposed schedule.

A careless revision might say:

The report shows that delivery times will fall by 20%.

The number remains, but two important qualifications have disappeared: estimates and could. The rewrite has turned a conditional estimate into a certainty.

When you review an inventory item, read the sentence before it, the sentence containing it, and the sentence after it. Check whether qualifiers such as “may,” “estimated,” “according to,” “in 2025,” or “for this sample” still appear when they are necessary.

Pass 3: Check structure and formatting

Paragraphs and lists often carry meaning. A list may separate requirements from optional steps. A paragraph break may distinguish a source statement from your interpretation.

HideGPT can preserve formatting, including paragraphs and lists. Treat that setting as a way to retain useful structure during revision, not as a substitute for checking the finished version.

Look for merged list items, missing headings, broken numbering, and a quote that has been moved far from the explanation that frames it. Then read the revised section normally. If a reader cannot tell what a number refers to or where a quote begins and ends, fix the presentation even when the source text itself is correct.

Use a short sign-off checklist

Before you approve the revised draft, run this final check:

  • Every direct quote matches the source, including omissions and attribution.
  • Every link has the intended destination and supports the nearby statement.
  • Every number keeps its unit, range, sign, and necessary qualifier.
  • Dates, names, titles, and source labels match the original material.
  • The context around each source element has not changed its meaning.
  • Paragraphs, lists, headings, and citations still make the logic easy to follow.
  • You have read the final wording as a reader, not only as a comparison exercise.

For repeated editing work, keep the inventory with the draft and compare source and revision side by side. HideGPT's web workspace includes side-by-side review, saved history, and custom instructions. That gives you a practical place to apply the same verification routine across revisions, while the final decision remains yours.
